The procedure is in 3 distinct parts

The creation of the documents – the creation of the email template and finally sending out the mail shot.

You will have to make sure that the Document does not exceed about 4.5kb

  1. CREATE THE DOCUMENT
    Go into UTILITIES – DOCUMENTS and create a blank document, give it a name and description make its purpose Email Attachment and save it. That creates a “holder” for the document.
    Go back into the document and upload the document from your computer. When that is done save it again.
  1. CREATE THE TEMPLATE
    In  SETTINGS – EMAIL TEMPLATE  click on Create New Email Template.
    Give it a name, description and subject (these are usually all the same)
    In the body of the email type whatever text you want.
    It is nice to personalise the email so  type Dear and then click on the ‘Insert Field’ box and select First Name  that will insert  a place holder for the the recipients first name . It will appear in the template as {{First Name}}
    Type the rest of the email and at the foot of the page click on Select Attachment. This will bring up a list of your branch’s attachment documents from which you can select the one you want.
    At the bottom of the list is another button “Attach Selected Documents” click this and then save the template.

    You can send yourself a test email by clicking on the orange button at the foot of the screen but when you receive the email it will not show the recipient’s name it will show {{First Name}} that is fine.  It can’t actually insert a name because you have not actually done a mailmerge.

  2. SENDING EMAIL
    Finally,  send the email to your members.
    Go back into UTILITIES – MEMBER MAILSHOTS –Select the email template you want to use. Usually it is at the top of the list.
    Now comes the bit that catches many people out – selecting who to send to.
    The simplest way is to click the orange bar “SELECT ALL” and then deselect those you do not wish to send to.

    In the bottom right corner of the screen is a “Preview Mailshot” button – Click this and you will see a list of all the recipients. If it looks OK there is a RED button to EXECUTE MAILSHOT.

 

Job Done

 

After a little while you will receive an email stating how many emails were delivered etc
